Webmaster’s Calendar

This is a list of the changes and tasks which should be done on the website during the WSO year.

March

  • Set up WSO 100 Club fundraising event. Usually a raffle; an auction is much harder to manage. Update the raffle description page at WSO 100 Club > WSO 100 Club Current Fundraising Activities. See prior examples in the Parking Lot. The 100 Club must provide ordering / payment pages from their Square account to link to.

April

  • On Thursday or Friday of convention week (whichever is preferred by the WSO 100 Club Vice President): On the WSO 100 Club Current Fundraising Activities page, disable all links to purchase raffle tickets. Add a message that raffle tickets can be purchased in-person at the convention prior to the drawing.
  • As soon as possible after the awards banquet: The Awards Director must provide you with a list of award winners. Create a homepage post congratulating and listing the award winners.
    • When it’s available (typically weeks later), embed the award winners video from WSO’s YouTube channel on the post.
  • After the convention:
    • Update the page Conventions > Past Conventions to add the just-concluded convention. (As of April 2026, this is one of the few pages on the website which still uses the WordPress Classic Editor. This page should be redesigned with the Block Editor when possible.)
      • The PDF version of the exhibition catalog will be made available several weeks after the convention. Add it to the Media Library, and link to it from the Conventions > Past Conventions page.
      • Add links to the exhibition video and the awards video when they become available.
    • Update the page Membership > Merit Awards with the latest Merit Awards list. The Merit Awards volunteer will provide the list.
    • Update the homepage “slider” with the award-winning paintings.
    • Change the message on WSO 100 Club > WSO 100 Club Current Fundraising Activities to “thank you for participating in the Spring raffle; please look for the Fall fundraiser in September.” The 100 Club Vice President should provide the specific wording they want.
  • Prepare for adding content from the May Watermark:
    • Move all pages from the Spring convention to the Parking Lot, and add links for them on the Parking Lot page.
    • Remove the Spring convention pages from the main menu.
    • Create new “stub” pages for the Fall convention and add them to the menu.
      • Note that the Juror Workshop page must not include the link to workshop registration until mid-June. See the related June task for more info.
    • Create a “stub” page for the Spring convention summary.
  • When the web version of the Watermark becomes available (approximately April 30):
    • Add the PDF to the Media Library, and link to it from Membership > Watermark > Past Watermarks.
    • The Watermark web version editor will provide an image of the Watermark banner. Replace the image on the page Membership > Watermark > Current Watermark with the new banner image. Link the new image to the PDF of the new Watermark.

May

June

  • Mid-June (around June 16): Add the link to registration for the fall juror workshop to the Juror Workshop page. Prior to this, workshop registration is only open to Active and Lifetime members. Adding the link opens registration to Subscriber members and the public. (A public non-member is required to join as at least a Subscriber member at the time they register for the workshop.)
